If you want to track the development from one survey to the next, it is highly recommended to place surveys within the same survey series.
Here is a guide on how to:
- Change a single survey into a series
- Edit the draft for the next survey in a series
1. Change a single survey into a series
If your first survey was a standalone survey, you can still set up your next survey in the same series as the first one. This way, you can track the development between the two surveys.
Click Edit on the survey’s front page. This can be done for both an ongoing survey and a completed one.
Now you can choose how frequently you want to send out the next surveys. You can change the frequency at any time.
Learn about the different frequency types.
You also choose which type of survey you want:
- Full GAIS: Consists of 38 questions. Full GAIS questionnaire.
- Quick GAIS: Consists of 9 questions. Quick GAIS questionnaire.
Depending on your frequency selection, the timeline beneath the frequency selector will now show when your next survey is scheduled to be sent out. After this, follow the guide below. Start from point C: Edit the survey invitation.
2. Create the next survey in a series you have already set up
If you have created and sent out a survey and chosen for it to be repeated at a given frequency, GAIS will automatically create the draft for the next survey. You can edit all elements of the draft before sending it out. This guide applies regardless of which survey type you have set up.
A. Put the survey into editing mode
To edit the draft of the next survey, find the card for your survey and click the Edit button.
You are now in editing mode. If the bar at the top of the screen is blue, you are in an ongoing survey. If it is green, the survey has been completed. To access the draft for the next survey, click the arrow labeled Draft. When you are in a draft, the bar at the top will be gray.
B. Choose frequency and survey type
Now you can choose how frequently you want to send out the next surveys. You do this by checking the frequency you want. You can also change the frequency you originally selected when you created the survey series.
You also choose which survey type you want. It is possible to create a Quick survey in the same series as a Full GAIS survey, allowing you to alternate between a large and a small survey.
- Full GAIS: Consists of 38 questions. Full GAIS questionnaire.
- Quick GAIS: Consists of 9 questions. Quick GAIS questionnaire.
C. Edit the survey invitation
By default, the invitation text is the same as the one you wrote for the previous survey. However, you can edit it if you want to make changes.
D. Edit participants using Organization
If there have been changes in employee composition or organizational structure since the last survey, or if you want to apply other filters, you can update your organization by uploading a new data file. After this, the Organization function will contain your most recent update. The new organization will overwrite the previous one.
You dont use GAIS Organization? Learn how to edit participants without using Organization.
Note: Be aware that if, in editing your organization, you add or delete columns compared to the last survey, this will affect the basis for comparison. It is rarely a good idea to delete columns, but it can be useful to add columns that were missing in the analysis of the previous survey’s results.
Note: Also be aware that if you change names, e.g., of participants or immediate managers, you will not be able to compare these units with the previous year. The platform can only compare units that are named and spelled exactly the same.
Learn here what you need to pay attention to when creating and editing your data file.
You can choose whether to send the survey to everyone in the organization or only to a specific department.
E. Edit participants without using Organization
If you are not using Organization, you can update participants by uploading a new data file directly in the survey or by entering participants manually.
F. Edit settings for comments and dialogue
You can also adjust the settings for comments and dialogue if your previous experience suggests doing so.
G. Edit additional questions
By default, the draft for your upcoming survey contains the same additional questions you selected in the previous survey. You can add, remove, or edit these questions.
Note: Be aware that the basis for comparison changes if you edit the wording of a question.
Read here what you need to pay attention to when formulating your own questions.
H. Edit settings
Finally, you can also edit the survey’s settings before sending it out if you want different settings than those you chose for the previous survey.
