The value of your GAIS survey results can depend heavily on how many employees participate and provide honest input. This is why we recommend actively working to secure as many responses as possible—both in the setup of your GAIS survey and in the activities surrounding the process.
- In this blog post, you can read more about how to increase your response rate by focusing on the process around the survey.
- The article below includes a checklist for what you can do during the actual setup of the survey.
Create a High-Quality Data File
To ensure a high response rate, it’s essential that your data is accurate from the start—especially that the right employees are invited using the correct email addresses.
Read our recommendations on who should participate in the survey.
Make sure each participant’s email address is correct—typos, wrong domains, or other errors in employee email addresses are common.
If there are errors in the email addresses:
- Participants will not receive their invitation and therefore cannot respond until the email is corrected.
- Your IT department may automatically block emails from GAIS.
Write a Strong Invitation Text
When the email invitations reach participants, this will be the first encounter many of them have with the GAIS survey. Consider carefully what the invitation should say so it creates clarity and a sense of safety.
Read our guide on how to write an effective invitation text.
Ensure That Emails Are Not Blocked by Your IT Department
To prevent spam and other unwanted emails, many IT departments and email providers have rules, filters, and blocking mechanisms in place. However, these measures sometimes affect legitimate emails—such as invitations to a GAIS survey.
Before launching your survey, it is a good idea to ask your IT department or provider to whitelist / approve the sender email, domain, and IP address, so they are not caught in these filters.
Your IT department or provider will need the following information:
Emails are sent from: no-reply@gais.dk
We use the following email domains for sending: @gais.dk and @mail.gais.dk
The mail server’s IP address is: 172.246.25.17
Ongoing Reminders from the Platform
GAIS automatically sends periodic reminders to participants who have not yet responded to the survey. In some cases, it may also be beneficial to send your own reminders—especially if the survey runs over a longer period of time.
Read the guide on how to send reminders to participants who have not yet responded to the survey.
